Using reports
Open a ready-made report, change its date range, and download it as a spreadsheet.
Open Reports from the sidebar to see the library. Each card is one report with a short line explaining the question it answers. Use the search box to find one by name, or the category chips (Revenue, Subscriptions, Receivables, Payments, Customers) to narrow the list.
Click a report to open it. You see the numbers as a chart, a table, or both, depending on the report.
Changing the date range
Every report opens on a sensible default range, shown as a highlighted pill above the results. For example, "Gross revenue over time" opens on the last 12 months, and "Subscriptions by status" opens on all time.
To look at a different period, pick another range:
- This month, 30 days, 90 days, 12 months, and Year to date cover the common cases.
- All time removes the date limit.
- Custom opens two date boxes so you can set an exact start and end date. The end date is included in the range.
The range you choose is kept in the page address, so you can bookmark a report at a specific range or share the link with a teammate and they see the same period.
The caption next to the range pills tells you the exact dates the numbers cover, so there is no guessing.
What the numbers mean
Money is shown in your account's currency and number format. A report that adds up money always covers a single currency so the totals stay meaningful. If you bill in more than one currency, run the report once per currency.
Counts are whole numbers. Dates are shown in your account's time zone.
Splitting a chart into colored series
When you build your own over-time or summary report, you can split the numbers into more than one colored series instead of a single line or bar. In the builder, set Break down by to a second field, for example break "Invoiced amount over time" down by status. You then get one colored series per value: paid, open, past due, and so on.
For an over-time report you can choose the Stacked bar chart, which stacks the series so the pieces add up to the total for each period. Other charts place the series side by side instead. Each series gets its own color, chosen to stay clear in both light and dark mode, and a legend above the chart names them.
Leave Break down by on "None" to keep a single series, which looks the same as before.
Downloading a report
Click Export CSV to download the report exactly as you see it, for the range you have selected. The file opens in Excel, Google Sheets, or Numbers.
In the spreadsheet, money comes through as plain numbers (for example 1200.00, not "$1,200.00"), counts as whole numbers, and dates in year-month-day form, so you can total, sort, and chart them without cleaning them up first.
Exporting needs the "export data" permission. If you do not see the Export button, ask an owner to grant it to your role.
See the rows behind a number
In a summary or over-time report, every group is a link. Click a status, a plan, or a month and you drop straight into the individual rows that make up that number. The list is filtered to exactly that group and the same date range, so what you see is precisely the rows that add up to the total you clicked. Use the back link at the top to return to the report.
Big exports
Most exports download right away. If a report has a lot of rows, we prepare it in the background instead of making you wait. When that happens you are taken to the Exports page, and we email you a link when the file is ready.
The Exports page lists your recent exports with their status, and it updates on its own while one is being prepared. Click a finished export to download it. Files stay available for 7 days, then they are cleaned up, so run the report again if you need a fresh copy later.
Getting a report emailed on a schedule
You do not have to remember to run a report. Open it and, under the results, set a delivery schedule so the report is emailed to you and your team on its own.
Pick how often it goes out:
- Daily, at the hour you choose.
- Weekly, on a day of the week and at the hour you choose.
- Monthly, on a day of the month and at the hour you choose. If a month is shorter than the day you picked (for example the 31st in February), it goes out on the last day of that month instead.
The hour is in your account's time zone, and each schedule shows when it will next go out. Add one or more email addresses to receive it. On each run we prepare the report as a CSV in the background and email it to everyone on the list, covering the report's own date range at the time it runs.
You can pause a schedule to stop delivery without losing its settings, resume it later, or delete it. All of this is in the same panel on the report.
Setting up a schedule needs the "manage reports" permission, and scheduled delivery is available on plans that include scheduled exports. If you do not see the schedule panel, ask an owner about your role or plan.
