HubSpot
Keep your HubSpot contacts and your billing records in step, in one direction or both.
Connect HubSpot and your customers stay in step with your CRM. Billing details flow out to your contacts, and edits your sales team makes in HubSpot can flow back to yRecurring. You choose which fields move, and which way.
Connect your account
- Go to Settings, then Integrations, and select Connect on the HubSpot card.
- Approve access to your HubSpot account.
- You land back on the connection page, connected. We add a few properties to your contacts on the way in, so billing data has somewhere to land.
Choose which fields move, and which way
The connection page has a field mapping grid. Each row pairs one of your yRecurring fields with a HubSpot contact property, and sets the direction:
- We write theirs. yRecurring is the source. Changes here update HubSpot; changes in HubSpot are ignored.
- They write ours. HubSpot is the source. Edits there update your customer here.
- Both ways. Either side can change it. If both change, you pick who wins: They win (HubSpot's value lands) or We win (yours stands and the HubSpot edit is ignored).
Email is the match key, so leave it mapped.
Fields that only ever flow out
MRR, subscription status, next renewal date and the yRecurring record ID are worked out from billing. They always flow one way, out to HubSpot, and nothing in HubSpot can change them. That is deliberate: your revenue numbers should come from your billing system, not from a CRM field somebody edited by hand.
What comes back from HubSpot
Once a field is set to come inward, an edit in HubSpot reaches the matching customer in yRecurring within seconds. A few rules keep it safe:
- Only customers already linked to a contact are updated. A change to a HubSpot contact we have never synced is ignored, so editing your CRM can never create a customer (and a bill) here.
- Blanking a name or email in HubSpot will not blank it here. Both are load-bearing for invoices and receipts, so an empty value is skipped rather than applied.
- If two of your customers share an email address they map to the same HubSpot contact, and we cannot tell which one an edit meant. Nothing is applied, and the reason is recorded on the activity feed.
- Echoes are ignored. When we write to HubSpot, HubSpot may report that change back to us. Since the value already matches, nothing happens: no update, no history entry, no loop.
Watch it work
The connection page's Activity list shows every sync in both directions, labelled with what happened, plus a reason for anything skipped. Use it to confirm changes are landing, or to see why one did not.
Sync your existing customers into HubSpot at any time with Sync existing records on the connection page.
Setting up the HubSpot side
Inbound updates arrive as HubSpot webhooks. HubSpot sends these from your app settings rather than per connected account, so an administrator sets them up once:
- In your HubSpot developer app, open Webhooks.
- Set the target URL to
https://app.yrecurring.com/webhooks/integrations/hubspot. - Subscribe to contact property change for the properties you mapped inward.
Every request is checked against your app's signing secret and rejected if it does not match, so nothing else can post changes into your account.
