yRecurring can send your customer email (invoices, receipts, reminders) directly from your own Gmail / Google Workspace or Outlook / Microsoft 365 mailbox. You connect the account once with a couple of clicks; there are no server names, ports, or passwords to copy. Sent emails go out as your mailbox's address, appear in its Sent folder, and replies thread in your inbox like any other conversation.

This matters more than convenience now: Google no longer accepts plain password sign-in for sending, and Microsoft is switching basic SMTP authentication off for Microsoft 365 tenants. Connecting the account the modern way is how sending from your own address keeps working.

## Availability right now

Connecting a mailbox is switched on account by account while our Google and
Microsoft apps finish their vendor reviews. On Settings → Email both providers
show an **In review** badge and a **Request access** button. Send that request
and we'll enable it with you, usually the same day. Everything below is how it
works once it's on for your account.

## Connect your mailbox

1. Go to Settings, then Email.
2. Under Delivery method, choose **Your own mailbox**.
3. Select **Connect** on Gmail or Outlook. You go straight to Google or Microsoft to approve access. yRecurring asks only for permission to send email and to see the account's address, never to read your mail.
4. Approve it. You land back on the email settings page with the mailbox connected and selected.
5. Save.

Use the test send at the bottom of the page to confirm delivery end to end.

You can connect more than one mailbox and switch between them; the one you pick
is the one every customer email goes out as.

## The sender identity

Emails send as the connected mailbox: its address is the From address, enforced by Google and Microsoft themselves, so it can never silently change. You choose the From name (how the sender reads in an inbox, for example "Acme Billing") and an optional reply-to on the same page.

## Limits and good practice

Sending rides your mailbox's own daily limits: roughly 2,000 messages a day on Google Workspace (500 on consumer Gmail) and around 10,000 recipients a day on Microsoft 365. That is ample for most businesses' billing email. If you send far beyond that, custom SMTP with a transactional provider is the better fit, and both options live side by side on the same page.

## Disconnecting a mailbox

Each mailbox on Settings, then Email has a Disconnect action. Disconnecting
revokes the stored access and keeps your settings, so reconnecting later takes
one approval rather than a fresh setup.

If you disconnect the mailbox you currently send from, customer email stops
until you reconnect it or pick another one. yRecurring tells you that at the
moment you disconnect, and never quietly moves your sending to a different
address, because your customers would see invoices arrive from somewhere new
without you deciding it.

## If sending stops

If access is revoked (someone removes the app in Google or Microsoft admin, or a password reset invalidates the grant), emails stop sending and every attempt is recorded in the email log with the reason. yRecurring never silently falls back to sending from a different address.

The mailbox on Settings → Email then shows **Needs reconnecting** with a Reconnect button next to it: approve access again and sending resumes. A mailbox in that state can't be picked as your delivery choice until it's fixed, so a save can't quietly leave you with a mailbox that doesn't send.
